Exporting Reports

The option to export specific transactional and statistical reports to a .CSV file enables you to view the report data via an Excel spreadsheet. When you choose to export, you also have the option to select the folder where you would like the file stored. The default folder is \hostplus\export, but you can change this for each report.

Enable a report for CSV export by updating it's parameters

For any of the reports listed above, if you have a previously saved report without the option to export, you will need to create a new saved report or update the existing report's parameters. The option to export the report to CSV is presented as the very last parameter. If you are unsure if you have a saved a preset report with the option to export to CSV, you can scroll to the bottom of the parameter list to verify.

Note: Because SMS|Host will automatically print at the same time a report is exported, you do not need to create a 2nd stored parameter unless you wish to have the option to simply print and not export

Updating Report Parameters:

  1. Select the saved Report from the list

  2. Select Update Parameters

  3. When prompted, select Yes to Export report output to CSV (Y)es (N)o.

  4. You will then be prompted to select the folder to which you wish the report be saved

    • The default will be the \hostplus\export folder

    • You can select any drive / folder on the network by clicking on the down arrow in the Drive box

The next time this report is run, it will automatically be exported to the selected folder

Opening Exported Reports

When opening CSV exports from SMS|Host in MS Excel ®, it is recommended that you import the CSV rather than double-click to directly open it. Importing the CSV ensures format compatibility with Excel.

To Import in Excel:

  1. Open Excel to a blank worksheet

  2. Select Data from the top menu

  3. Select From Text/CSV, then browse to locate and select the CSV file

  4. Select Import

  5. Select Load from the preview screen

After the report is imported into Excel using the steps above, you have can manipulate the data in Excel as needed.
